Record-Keeping for Self-Employed Professionals and Freelancers

When you are the business, your records need to work harder. Here's a simple system that keeps them manageable.

Working for yourself means you're the one who does the work, finds the clients and keeps the books. With so many hats, record-keeping is usually the first thing to slide.

It doesn't have to take much time. A few consistent habits are enough to keep your income, expenses and paperwork clear, and to save you a lot of stress later.

1. Keep work money separate from personal money

Using a dedicated account for professional income and expenses makes everything clearer. When the two are mixed, even a simple question like "what did I earn this month?" becomes a puzzle.

2. Record every payment you receive

Note down each payment with the date, the client and what it was for. Freelance and professional income often arrives in irregular amounts from several sources, so a running record is the only reliable way to see the full picture.

3. Keep track of work-related expenses

Software, equipment, travel, subscriptions and similar costs all add up. Keep the receipt and a short note about each one as it happens. Rebuilding a year of small expenses from memory is both slow and inaccurate.

4. Issue proper invoices and follow up on them

A clear invoice with a number, date and amount makes your records cleaner and your clients' payments easier. Keep a simple list of what's been invoiced and what's been paid, so late payments don't go unnoticed.

5. Set aside a regular time for the books

Half an hour at the end of each week is usually enough to keep everything current. Doing a little regularly is far easier than facing a whole year's records at once.

Keeping it simple, and keeping it going

The best system is the one you'll actually keep up.
