Accounting Essentials for Traders in Surat: Stock, Credit and Margins

Trading businesses run on stock, credit and thin margins. Here's what to keep track of so the numbers stay clear.

Trading businesses move quickly. Goods come in, goods go out, and a lot of it happens on credit. That speed is what makes trading rewarding, and it's also what makes the accounting easy to fall behind on.

The good news is that most of the pressure points are predictable. If you keep a clear handle on three things, stock, credit and margins, the rest of your books become much easier to manage.

1. Keep stock records that match reality

Record what you buy and what you sell as it happens, and compare your records with what's actually on the shelf from time to time. When the two drift apart, it's usually due to unrecorded sales, returns or purchases, and it's much easier to find the cause early than months later.

2. Track credit given and credit taken

Traders often sell on credit and buy on credit at the same time. Keep a simple, current list of who owes you, how much and since when, alongside what you owe your suppliers and when it's due. This is the single biggest factor in whether you have cash when you need it.

3. Know your margin on what you sell

Margins in trading are often thin, so small differences matter. Make sure your records let you see what you paid for goods and what you sold them for, so you can tell which items genuinely earn their place and which only look busy.

4. Keep invoices consistent and complete

With high transaction volumes, a missing or inconsistent invoice becomes a reconciliation headache. Numbering invoices sequentially and filing them by month keeps your sales and purchase records clean, and makes GST-related record-keeping far less stressful.

5. Reconcile regularly

Match your records to your bank statements at least monthly. In a business with many small transactions, regular reconciliation is what stops small discrepancies from piling up into something that takes days to untangle.
